Direct Mail and Print Production are an important part of SMUD’s customer communications strategy. We mail materials to our residential and commercial customers, and other stakeholders, to inform them of events and services, as well as to solicit their participation in various energy efficiency, environmental, and other programs. While the purpose of some of our direct mail activities is simply to inform and educate customers and other stakeholders of information that is important to SMUD, others seek to have customers take direct action such as signing up for a particular program by returning a printed Business Reply Card (BRC) or other printed material. For Direct Mail and Print Production services, we are seeking a firm to be a strategic and collaborative partner in our communication efforts. The Contractor must be able to meet SMUD’s increasing demands for speedy and efficient job processing, quality and versatility of materials, accuracy of mail lists, as well as have the ability to consult on strategic direct mail planning and design.  The Contractor will receive work assignments in the form of written Task Authorizations.It is difficult to estimate SMUD’s mailing needs for the next two to five years. The Contractor may receive direct mail and printing requests requiring simple and complex printing and bindery, quick turn-around times, complex or non-standard envelope fulfillment. Average volume direct mail projects consist of 10,000 to 50,000 pieces, with some quantities as small as 200. Some projects involve large one-time drops, while others may involve ongoing drops – such as weekly and as large as 550,000 – based on a predetermined schedule and plan.  The Contractor will use SMUD’s postal permits for postage for SMUD’s projects, and will provide regular reporting to SMUD’s Marketing, Market Research, and Postal Services departments. Contractor will need to pick-up SMUD stationery, primarily letterhead and envelopes, to be used for projects from the SMUD East Campus Operations Center in Sacramento, CA, as well as printed materials from SMUD’s Print Shop in Sacramento, CA.Please note that we do not guarantee the purchase of any particular services or quantity. As the mailing needs arise, SMUD will place orders for the exact quantities needed.  SMUD reserves the right to award one or more contracts for a three-year base period. Should multiple contracts be awarded, SMUD will endeavor to evenly distribute dollar amounts between contract recipients.Based on SMUD’s review of the proposals received, a short-listed group of Proposers may be selected. The short-listed firms may receive an on-site inspection for SMUD to verify required service capabilities, based on the checklist in the Mandatory Requirements section of this Request for Proposal. The on-site inspection will be considered in the overall technical rating. Failure to obtain a passing score on all items on the checklist will be cause for rejection of the proposal. Submission of a signed proposal accepts these terms. Proposers are encouraged to review the checklist to ensure their firm’s ability to pass an on-site inspection.

Can you please confirm the stock on the letters and brochures?

Letter and brochure stock is 60# offset or similar/equivalent. Please note that SMUD provides the letterhead. Vendor does not print it.

Thank you! Will the letters and brochures come folded? Or, does the vendor need to fold both?

Vendor will need to print the letter on SMUD-supplied letterhead. The mailhouse doesn't print the letterhead, but they do print the letter on to the letterhead, and then they will need to fold if after printing so it fits in the #10 envelope. For the brochures that SMUD prints, those will be folded already.

Can you please confirm the size and stock on the BRCs?

The BRC is 110# index or similar/equivalent. Our BRCs are generally 6" wide x 3.5" tall. They need to fit in a #10 envelope.
