The Ohio State Wexner Medical Center is looking to find potential vendors to discuss a Perpetual Inventory System for our Materials Team.  We hope to find vendors who have a web-based, passive perpetual inventory system for our Procedural areas and Operative Suites which will allow us to gain real-time visibility to inventory.   It is our goal to use this technology to standardize products, reduce waste, increase product security, and improve accuracy for patient charging while minimizing impact to clinical workflow. Attributes we are seeking in a Perpetual Inventory System for Materials Team:  

-        Provide high level overview (process map included) of the perpetual inventory system from order, to utilization, tore-order.  

-        Provide a process map and screen shots for how items are added and deleted from the perpetual inventory system.  

-        Please describe in detail the RFID components of your system including tags, tag printers, stationary readers, wand readers, and detection cabinets and chambers.  


·        Materials Dashboard (Customizable)  

§ Provide a high level overview of the materials dashboard and available functionality.  

§ Provide screen shots of the materials dashboard and various reports that are available.    

§ Provide information on the various ways reports can be manipulated and exported.  

§ Provide information on visibility to both internal(departmental) and external (health system) inventory   

§ Provide what abilities exist to drill into numbers/products   

§ Provide information and graphs/reports on what is available for historical comparisons and trending.  

§ Provide information on how like supplies and implants can be categorized for easy review.  

o   Metrics  

§ Provide all metrics that are currently able to be calculated.  

§ Provide graphs and/or reports of these metrics  

·        Metrics of Interest:  

o   Identification of Out of Stock Inventory   

o   Identification of High turning and low turning products  

o   Identification of Expiring Products and cost calculation of expired products  

o   Identification of Missing Products  

o   Calculation of Total Inventory Turns/Bin Spin  

§ Drill down of Inventory Turns by group and/or item  

o   Calculation of Inventory Value  

§ Drill down of Owned vs. Consigned Inventory Value  

o   Calculation of Inventory adds/deletions from the system  

o   Other  alerts able to be set based on varying needs of the department  

·        Tissue  

o   Provide high level overview of Human Tissue tracking from dock receipt to implant into the patient.  

o   Provide detailed swimlane visio of workflow including each user’s required tasks  

o   Please provide detail on all time stamps/movements that are collected  

o   Provide detail on how audits and retrospective reviews are handled  

·        Sterile Implant Trays  

o   Provide high level overview on how this system would handle implant inventory in sterile trays (loaned and owned) and implant inventory (owned and consigned) in cabinets in Central Sterile Supply.  

o   Provide workflows to discuss the ordering,billing, and replenishment process.  

·        Consignment Management  

o   Address how consigned inventory is managed and ordered utilizing  Serial number, Lot number, expiration date.  

·        Supplies/Implants on the Fly  

o   Explain the process and attach a visio of the clinical and materials workflow for supplies and implants that are brought in as vendor trunk stock.  

o   Explain how the bill only process works.  

·        Recalls and FDA Alerts  

o   Explain the process using visio and screen shots on how recalls work in the inventory management solution.  

·        Interfaces with Peoplesoft, ability to link item with PO and receive date/time.  

o   Explain the reorder process and attach a visio from the inventory management solution to Peoplesoft  

·        Interfaces with Epic Optime and Cupid  

o   Explain the documentation process and attach a visio from the inventory management solution to Epic Supply/Implant Logs.  

o   Explain how implants and supplies without item Id’s in peoplesoft are handled  


Attributes of a Perpetual Inventory System for Clinical Team:  

o   Provide detailed explanations, workflows/visio’s of the clinical work team, making sure to address the following:  

§ Ways to access closed system cabinets  

§ Supply/Implant documentation system   

§ Accurate Charging  

§ Point of use technology  

§ Various ways products can be entered into the system.    

§ Preference Card Optimization  

§ Elimination of Redundant documentation  

§ Minimization of various software/screens/technology used in the procedural areas  


Attributes of a Perpetual Inventory System for Billing/Revenue Management Team:  

o   Provide visio’s and screenshots on how the billing reconciliation process works for locked cabinet item, open shelving,and sterile implant trays  

o   Provide information on how errors are adjusted in the system   



Provide sites/hospitals utilizing this technology  
Provide Academic Medical Centers utilizing this technology  
Provide hospitals with both Epic/Peoplesoft utilizing this technology  
Provide References  
Provide Cost for all available Equipment (hand held,cabinets, label printers, bins, etc.)
